We spoke to Danielle, a School Business Manager at Hurst Drive Primary School, for an insight into her experience with using Every.​

The challenge

Prior to using Every, Hurst Drive Primary School relied on manual registers to record all their contracts and tasks, as opposed to a digital system, which they had not previously looked into until attending an SBM conference.

This meant that aside from Danielle’s day job, she was also having to set aside time to diarise when contracts had upcoming renewals or notice periods, this was one of the main processes that Danielle wanted automating in order to save her time for other important tasks.

Solving the problem

Since being introduced to the Business Management module, Danielle has taken the time to understand the different elements of the system and the benefits that it has to offer, such as our new smartphone app that enables you to get key updates on the go, as well as being able to share important information to those within the school.

Due to line managing some of the staff within the school, Danielle finds it especially useful that by using the Summary page on the system, she is able to view activities due today, tomorrow – or anything that is overdue – with ease.

Over time, Danielle feels she has grown with the system, particularly the Issues side. This module enables you to log and track any issues that transpire within the school, whilst simultaneously having an audit trail to evidence any effects on each part of the system.

‘Every September we have to renew every member of staff’s safeguarding training and we have to sign to say we’ve read the Keeping Children Safe in Education document. It would mean me printing off the whole school staff list and going around getting everyone to sign it. Now, I send it all out on Every with a date that they have to have signed it by and it’s done.’

Since implementing Every…

Hurst Drive Primary School have been using Every for the past five years now. Following the success of the Business Management with the school, they have continued to steadily implement more modules, including the Asset Management and Documents and Policies modules. The benefits the system has provided to the school, and the way it has helped to simplify various processes, is evident in the way the school now manages how they record contracts and issues within the school.

Since implementing Every, the majority of the school staff have adapted to using the system, and post-it notes are no longer used to record issues around the school. Danielle also mentioned that they also use the system for their induction, as there are documents and policies that need to be signed and read, so she finds it beneficial that the system automates this process now.
